Shipping Charges

In order to ensure the highest possible quality product, we ship via overnight, two-day, or ground shipping methods. Our shipping charges are quoted to you directly, and do not make a profit from these charges.

Shipping charges are calculated based on the shipping method, weight, volume, and destination of the shipment. The shipping charge for your order may be estimated prior to checkout by using the website's cart functionality

Shipping Updates

In the last several years, our team has been challenged in many ways. Our production schedule and inventory levels have been modified to satisfy our customers; we are often battling product shortages, staffing challenges, and supply chain issues. It has been challenging, but worth it!

Circumstances beyond our control, such as disruptive weather, flight delays, and mechanical issues experienced by our shipping carrier, may result in a delayed delivery of your order. However, please note that we will always do everything possible to get your order to you on time.

Wherever possible, we will send you tracking information. We ask that you order as early as possible to ensure that your product arrives on time and makes the recipients' days a little sweeter earlier. (Early is better than late!) We appreciate your patience and understanding during this time.

Making Your Delivery a Little Sweeter

When we send out a box of Van Otis Chocolates, we are always very cognizant of the fact that we have an opportunity to create a lifelong customer. We know that many of our recipients have been savoring our tasty treats for decades, but there are many for whom it is the first time. It is critical that every shipment is packed with care at our factory, and our shipping team takes the time to ensure that your chocolates delight whoever receives them. Each shipment is wrapped with the utmost care.

Chocolate does not respond well to extreme heat and humidity. We want to balance our customers’ desire for affordable shipping options with our chocolatiers’ desire to maintain the highest level of quality and freshness. For this reason, we will only ship ground when the temperature will allow us to do so.

Where We Ship

Van Otis ships to any street address in the continental United States via UPS or USPS. We do not ship to Alaska or Hawaii, and cannot ship to PO boxes or APO/FPO addresses. Please call us for details at (603) 627-1611. Due to the perishable nature of our products, we do not fulfill orders for any overseas destinations.

We require a street address for your order. Be sure to include appropriate suite or apartment numbers. For proper delivery please be sure to provide complete address details, including apartment numbers, business condo unit numbers, suite numbers, and office floors. Please note that when shipping to a physical address, an accurate street address, suite/apartment number, company name (if applicable), and phone number is required to ensure proper delivery.

Due to the perishable nature of our chocolates, we are not able to ship outside of the U.S.

Processing

For all shipments, we require 24hrs (1 Business Day) for processing, and an additional 1 Business Day for custom orders. An additional 24hrs (1 Business Day) will be required if shipping to a warm weather destination or during warm weather months.

Most orders placed by 10am EST Monday through Thursday will be shipped same day. Orders placed after 10am EST will be shipped the following business day. This is subject to change for custom orders, items out of stock, Overnight/2nd Day shipping services, and shipments during warm weather months and/or traveling to warm weather states. A Chocolate Consultant will reach out via email or phone call should a shipping issue arise.

Shipping Methods 

We use both UPS and USPS for shipping. Upon processing your order, we will make the determination of best shipping carrier based upon order location, temperature, and shipping method selected. If you prefer one carrier over another, please indicate so in your order comments. You may be contacted if delivery dates may be impacted by any circumstances out of our control. Tracking number and link for tracking will be sent from the carrier to the email you provided at checkout.

Please also note that the shipping rates for many items we sell are weight-based. The weight of any such item can be found on its detail page. To reflect the policies of the shipping companies we use, all weights will be rounded up to the next full pound.

Warm Weather Shipping

For shipments to warm weather destinations (Arizona, Alabama, Arkansas, California, Florida, Georgia, Louisiana, Mississippi, Nevada, New Mexico, Oklahoma, South Carolina & Texas), we require an additional 1 Business Day on top of standard processing times, as we freeze all chocolates for 24hrs before shipment. Overnight shipping with Thermal Protection is the recommended shipping method for these states. Should a customer choose to forgo this recommendation, Van Otis Chocolates, LLC is not liable for any products arriving melted or damaged.

For ALL shipments during warm weather months (May through September), we require an additional 1 Business Day on top of standard processing times, as we freeze all chocolates for 24hrs before shipment. Overnight shipping with Thermal Protection is the recommended shipping method for all states outside of New England. Should a customer choose to forgo this recommendation, Van Otis Chocolates, LLC is not liable for any products arriving melted or damaged. Ground shipping is ok for destinations within New England* during these months.

*New England Includes: NH, ME, MA, VT, CT, RI

Order Tracking

Once your order is shipped you will receive an email from carrier with tracking details. You will then be able to track your package by going to the carrier's website.

Holiday Seasons

Thanksgiving, Christmas/Hanukkah, Valentine's Day, Mothers’ Day, and Easter are the busiest seasons for chocolate. Please be sure to allow more time for shipping. Our carriers do not guarantee shipping dates during our busiest holidays.

Return Policy

Due to the nature of our products (food), we do not accept any returns. If you have received an incorrect or defective item due to our error, we will make an exchange for the correct product within 15 days of purchase.

Sales Tax

Local and state sales tax is charged depending on the state, and are automatically calculated at checkout based on existing tax rates which vary by city and county. For specific amounts, please call (603) 627-1611.

No Signature Required

We do not require a signature for deliveries.

UPS & USPS delivery service reserves the right to deny a delivery should there be an instance where they do not feel the location is secure and will reattempt delivery on the next business day. Van Otis Chocolates is not responsible if the package is lost or stolen.
